The ceremony spot is dreamy, the reception room looks incredible, and everyone is already picturing themselves on the dance floor.
Excellent.
But before you start contacting wedding musicians and asking for quotes, there’s one small but very useful step to take.
Ask your venue a few questions first.
This isn’t because wedding musicians needs are difficult. Quite the opposite. The more information they have, the more accurately they can quote, recommend the right setup and tell you whether they’re a good fit for your wedding.
Without that information, musicians may need to make assumptions.
And assumptions are how a simple quote can turn into several emails, unexpected extras or the awkward discovery that the venue’s “live music area” is approximately the size of a bathmat.
Why your venue details matter
Wedding musicians don’t price a wedding based only on how many songs they’ll perform.
A quote may also depend on:
- Where the musicians need to set up
- How much equipment is required
- Whether the ceremony and reception are in separate locations
- How early they need to arrive
- Whether there are sound restrictions
- How far equipment must be carried
- Whether extra speakers or microphones are needed
- How late the entertainment can continue
Two weddings with the same number of guests can require very different setups.
For example, a duo performing in one indoor room is a very different job from a duo playing at an outdoor ceremony, moving to a garden drinks area and then setting up again inside for the reception.
Same duo. Same wedding day. Much more equipment, movement and setup time.
The aim isn’t to know every technical detail before making an enquiry – it’s simply to gather enough information for musicians to understand the wedding you’re planning.
Below are the seven venue questions worth answering before you contact wedding musicians.
1. Are there any noise limits or sound restrictions?
This is one of the most important questions to ask.
Some venues have strict limits on how loud music can be. These restrictions may come from council requirements, nearby residents, venue policies or installed sound-limiting equipment.
Ask your venue:
- Is there a maximum permitted volume?
- Is there a sound limiter?
- Does the venue monitor sound levels during the reception?
- Are live drums permitted?
- Are amplified bands allowed?
- Do doors or windows need to remain closed while music is playing?
A sound limiter is a device that monitors volume. At some venues, it may reduce or cut power when the music exceeds a set level.
That doesn’t necessarily mean you can’t have live music. But it does mean your musician or band needs to know about it before confirming the booking.
A soloist, acoustic duo, DJ and six-piece band all have different sound and setup requirements. Knowing the venue’s restrictions helps you avoid requesting quotes from acts that may not suit the room.
It also gives musicians a chance to suggest alternatives.
For example, they may recommend:
- Electronic drums instead of a standard drum kit
- A smaller band format
- Lower stage volume
- A DJ or hybrid setup
- A different speaker arrangement
- Acoustic entertainment for part of the day
Why this can affect your quote
Sound restrictions may change the type of act, equipment or technical preparation required.
It’s far better to discover this before booking than during soundcheck, when everyone suddenly realises the drummer has become public enemy number one.
2. What's the entertainment curfew?
Your reception may continue until midnight, but that doesn’t always mean amplified music can continue until midnight.
Ask your venue:
- What time must live music finish?
- What time must amplified music finish?
- Can quieter background music continue afterwards?
- Is there a separate curfew for outdoor music?
- Does all entertainment equipment need to be packed down by a particular time?
Some venues allow dancing until a certain time but require outdoor music to stop much earlier.
Others may allow a DJ to continue after a band finishes, but at a reduced volume.
This information helps musicians recommend the right package and performance schedule.
For example, there’s little value in paying for four hours of dance-floor entertainment if the venue requires amplified music to finish after two and a half.
Why this can affect your quote
The curfew may influence:
- Performance duration
- Number of sets
- Start time
- Break structure
- Overtime options
- Pack-down timing
It may also help you decide whether you need live music for the entire reception or a combination of live sets and recorded music.
3. Is amplification permitted at the ceremony?
An outdoor ceremony may look wonderfully intimate, but voices and instruments don’t always travel as far as people expect.
Wind, nearby traffic, waves, fountains, birds and enthusiastic relatives can all compete with the ceremony audio.
Ask your venue:
- Is amplification allowed at the ceremony location?
- Is power available nearby?
- Does the venue provide a ceremony sound system?
- Is a microphone included for the celebrant?
- Can musicians connect to the venue’s system?
- Are battery-powered speakers permitted?
- Is there a wet-weather ceremony location with different requirements?
This question is especially important when the ceremony is outdoors or in a separate area from the reception.
A singer and guitarist may be able to perform acoustically for a small ceremony in a quiet courtyard, however the same setup is unlikely to work for 150 guests on a windy lawn.
Why this can affect your quote
Musicians may need to provide:
- A separate ceremony PA system
- Battery-powered equipment
- Additional microphone for announcements or readings
- Additional speakers
- Extra setup time
- A second technician or crew member
Don’t assume the celebrant’s microphone will automatically cover the musicians.
It won’t. Musician’s use their own equipment and the quality of their microphone and PA equipment is often vastly different than ones used by celebrants.
4. What power is available?
This sounds technical, but the venue should be able to give you a straightforward answer.
Ask:
- Is standard power available near the performance area?
- How many power points are available?
- Are the power circuits shared with catering, lighting or other suppliers?
- Is power available at the ceremony location?
- Are extension leads permitted?
- Does the venue require equipment to be tested and tagged?
- Is a generator needed for outdoor areas?
Professional musicians will bring the cables and equipment they require but they still need to know whether suitable power is available where they are expected to perform.
This becomes especially important for:
- Outdoor ceremonies
- Marquees
- Private properties
- Rural weddings
- Separate drinks areas
- Temporary dance floors
- Locations far from the main venue building
Why this can affect your quote
Limited or unavailable power may require:
- Battery-powered systems
- Generator hire
- Longer cable runs
- Additional equipment
- More setup time
- Technical coordination with the venue
You don’t need to understand the technical side of the venue’s power supply. The musician just needs accurate information so they can plan safely and properly.
5. How much performance space is available?
The answer to “Can we have a band?” should ideally involve more detail than “Sure, probably.”
Ask the venue:
- What are the dimensions of the performance area?
- Is there a stage?
- How large is the stage?
- Is the area shared with the dance floor?
- Are there low ceilings or fixed furniture?
- Where can speakers and lighting be positioned?
- Will the musicians need to move or pack away their equipment during the reception?
- Is there room for the act size you’re considering?
A solo musician needs far less room than a five-piece band.
A DJ may need space for a table, their setup including speakers and lighting.
A full band may need room for:
- Musicians
- Instruments
- Microphones
- Speakers
- Monitors
- Cables
- Lighting
- Safe access around the setup
Guest count alone doesn’t determine the best act size. The room itself also matters.
A large band may feel spectacular in a spacious ballroom but slightly ambitious in a narrow restaurant corner between the cake table and the emergency exit.

Available space may affect:
- Suitable act size
- Equipment choices
- Speaker placement
- Lighting options
- Setup time
- Whether the musicians need a smaller setup
Once you know the available space, you’re in a much better position to start considering your options for acts that suit both the atmosphere you’re aiming for and the room you actually have.
6. What are the loading, access and parking arrangements?
This question isn’t glamorous.
Neither is carrying a speaker cabinet up three flights of stairs while guests sip champagne nearby.
Ask your venue:
- Where do suppliers unload equipment?
- How far is the loading area from the performance space?
- Are there stairs?
- Is there a lift?
- Is the lift large enough for equipment (and possibly a trolley)?
- Are there narrow doors or difficult access points?
- Is supplier parking available?
- Are parking fees involved?
- What time can musicians access the venue?
- Are there restrictions on vehicle access?
Musicians will need to bring a range of ‘tools’ including speakers, stands, instruments, lighting, cases and other equipment.
A venue with direct loading access is very different from a city venue where musicians must park several streets away and carry their gear through a public entrance.
Neither is necessarily a problem, but your musicians need to know in advance.

Difficult access may increase:
- Labour time
- Setup time
- Crew requirements
- Parking costs
- Equipment movement
- Early-arrival requirements
Clear access information also helps prevent delays.
Your musicians should be ready before guests enter the room, not making their sixth trip from a loading bay in another postcode.
7. Will separate setups be required?
Many couples use more than one area for their wedding.
You may have:
- An outdoor ceremony
- Drinks in a courtyard
- Dinner in a reception room
- Dancing in another area
- A wet-weather backup location
If you have more than one space for your wedding,
Ask your venue:
- How far apart are the spaces you’ve booked?
- Can equipment be easily moved between them?
- Can any equipment be set up in each space in advance?
- Does the venue provide sound equipment in any area?
- How long after the wedding is the musician expected to clear the space(s)?
- Is there a wet-weather plan?
This is one of the biggest reasons wedding music quotes can differ.
A musician may be able to easily move a small acoustic setup from the ceremony to drinks without much trouble, but a larger sound system may take too long to pack down, move and rebuild.
In that situation, the musician is likely to recommend two separate PAs set up in advance.

Separate setups can involve:
- Additional equipment
- Earlier arrival
- Extra setup and pack-down
- More crew
- Longer booking time
- Equipment hire
- Waiting time between performances
This doesn’t automatically make the quote unreasonable.
It means the musician is pricing the actual work involved rather than only the minutes spent performing.

- Ceremony location
- Reception location
- Noise restrictions
- Entertainment curfew
